Caring for your loaned instrument 

Whether you're borrowing a violin, cello, bow or woodwind instrument, your instrument is a precious companion on your musical journey. Here's everything you need to know to keep it safe, well-maintained, and sounding its best. 

Got a problem with your instrument or bow? 

If your instrument has been damaged or isn’t playing as it should: 

  1. Contact us straight away – we're here to help.
  2. Take clear photos of any damage.
  3. Notify your insurer if the damage may require a claim.
  4. Book an appointment with our on-site luthier (available Mondays, Tuesdays, and Saturdays), or visit your designated local technician (if one was assigned at your loan appointment). Just let us know first. 

Please don’t: 

  • Attempt repairs yourself (except for changing strings).
  • Use a repairer without our written approval.
  • Make any changes to the instrument without permission. 

Unapproved repairs can cause permanent damage and may result in costs you're responsible for. If in doubt, just ask us or check out some extra tips for caring for your instrument.

Need a different instrument? 

If you’ve outgrown your current instrument or need something more advanced: 

  • Complete an Instrument Review Form to request a change. 
  • Give us at least three months’ notice if you're upsizing to a larger size. 
  • Bows can be upgraded separately from instruments. 

 We’ll do our best to find the right match for you, though availability may vary. 

Annual information update 

Each year, both the borrower and guarantor must complete an Annual Information Update Form which we will remind you to do.

Ready to return your instrument? 

If you are ready to return your instrument, please 

  • Contact us to book a return appointment (we’re open Monday to Saturday, 9:00am to 4.00pm) 
  • Give us at least two working days notice 
  • Return items directly to the Loan Scheme office in the Aston Building (not to Benslow Music Reception unless pre-arranged) 
  • Keep your insurance active until we confirm that the return is complete. 

 Returns are only complete once the instrument has been signed in and inspected.
